Who we are

The Lead Kit Ltd is the company responsible for the personal information described in this policy. We are registered in England and Wales under company number 15372841, with our registered office at 109 Cartland Road, Stirchley, Birmingham, England, B30 2SB.

We build and manage marketing systems for trades businesses: websites, review requests, missed-call text-back, customer follow-up and lead management.

Information we collect

This policy covers information about you when you deal with us directly.

  • Your name, business name, phone number, email address and location.
  • Details of your business needed to build and run your system, such as services, service areas, opening hours, logos and photographs.
  • Booking details when you arrange a demo call with us.
  • Billing details, payment status and accounting records. Bank and card details are handled by our payment processor and are not stored by us.
  • Messages and call records between you and us, including notes taken during calls.
  • Website usage and device information where analytics or cookies are enabled.

How we use your information

  • Respond to enquiries, arrange demo calls and answer questions.
  • Build, host, manage and support your website and automations.
  • Take payment, maintain accounting records and meet tax obligations.
  • Provide support, handle complaints and resolve disputes.
  • Improve our own website, service and processes.
  • Send service messages about your account, and marketing where you have consented or where the law otherwise permits it.

Our lawful bases

We process personal information where it is necessary to perform a contract with you or to take steps at your request, where we have a legal obligation, where we have a legitimate interest, or where you have given consent.

Our legitimate interests include operating and improving the business, keeping proper records of the work we do, protecting our legal position and communicating with businesses that have shown interest in what we offer. We weigh those interests against your rights, and you can object to processing carried out on this basis.

Information we handle for our clients

Our service involves running websites, enquiry forms, messaging and a CRM for our clients. Those systems hold personal information about our clients' own customers and enquirers, such as names, phone numbers, email addresses, job details and message history.

For that information our client is the controller and we act as a processor on their instructions. We use it only to provide and support the service, never for our own marketing, and we do not sell it. If you are a customer of one of our clients and want to exercise your rights over your information, contact that business directly. You can also contact us at hello@theleadkit.co.uk and we will pass the request on.

Who we share information with

We share only what is needed with the suppliers who help us run the service. These currently include our CRM and messaging platform (HighLevel), the telecoms provider behind the phone numbers and text messages (Twilio), our payment processor (Stripe), our website hosting and network provider (Cloudflare), our booking provider (Cal.com), and the messaging, review and business listing platforms your system connects to (such as Google and WhatsApp, which is provided by Meta).

We may also share information with our accountants and professional advisers, and with regulators or law enforcement where we are required to do so. We do not sell personal information. Suppliers acting for us must protect it and use it only for the purpose we have agreed.

Cookies and website analytics

Our website uses cookies that are strictly necessary for it to work. Where non-essential analytics or marketing technologies are used, they are used only with the consent required by law. You can also control cookies through your browser settings, although blocking some of them may affect how the site works.

Pages that embed a third party tool, such as our booking calendar or a form, may set cookies controlled by that provider.

Marketing messages

Where we send marketing by email, text or WhatsApp, we do so only where the law allows it, and every message gives a way to stop receiving them. Opting out of marketing does not stop service messages about your account, billing or the running of your system.

How long we keep information

We keep personal information only as long as reasonably necessary for the purpose it was collected for. Accounting and tax records are kept for the period required by law. Enquiry and client records are kept for as long as we have a relationship with you and for a reasonable period afterwards, so that we can deal with questions, claims and obligations that arise later.

Information we hold on behalf of a client is kept for as long as they instruct us to, and is dealt with on cancellation as set out in our terms.

Security and international transfers

We use reasonable organisational and technical measures to protect personal information, including access controls on the systems we use. No system can be guaranteed completely secure, so we cannot promise absolute security.

Some of our suppliers process information outside the UK. Where that happens we rely on an appropriate lawful transfer mechanism, such as UK adequacy regulations or standard contractual clauses with the UK addendum.

Your data protection rights

Depending on the circumstances, you may ask us to give you access to your personal information, correct it, delete it, restrict how we use it, or transfer it to someone else. You may also object to processing based on legitimate interests, and withdraw consent where our processing relies on it. Some of these rights have legal exceptions.

To exercise any of them, contact us at hello@theleadkit.co.uk. If you are not happy with how we have handled your information, you can complain to the UK Information Commissioner's Office at ico.org.uk. We would rather you came to us first so we can put it right.

We may update this policy when our service, our suppliers or our legal obligations change. The current version is always on this page, with the date it was last updated shown at the top.
